A CRM can give you a clear view of every lead, customer and follow-up. But many CRM projects stall because the system is set up before the process is agreed. Use this checklist to keep your implementation on track.
1. Define your sales process first
Write down the stages a lead moves through, who owns each stage and what must happen before it moves forward. Your CRM should reflect this, not invent it.
2. Clean your data before migrating
- Remove duplicates and outdated contacts.
- Standardise phone numbers, cities and company names.
- Decide which history is worth bringing across.
3. Keep required fields to a minimum
Every extra mandatory field is a reason for someone to skip the CRM. Start with what you genuinely need for follow-ups and reporting, and add more later.
4. Connect the tools your team already uses
Integrations with email, WhatsApp, your website forms and billing software save time and make the CRM the natural place to work.
5. Train people and appoint champions
Short, role-specific training works better than one long session. Pick a champion in each team to answer everyday questions.
6. Measure adoption, then improve
Track whether follow-ups are logged and leads are updated. Review after 30 and 90 days and adjust fields, stages and automations based on real use.
Implemented this way, a CRM becomes a shared source of truth rather than another system to update.
